What we do with your information.
Plainly, in one page: what we collect through the quote form, the newsletter and WhatsApp, who else ever sees it, and how to have it deleted.
Who we are
Hujjaj Travel and Tours (Pvt) Ltd, trading as part of the Adam Kath Group, Office 202, Frere Business Centre, Frere Road, Saddar, Karachi 74400, Pakistan. Telephone +92 303 2442222, email [email protected].
This policy explains what we do with the information you give us through this website, over WhatsApp, on the telephone, and at our office counter.
What we collect, and where it comes from
The quick quote form on the home page
Your name, your phone or WhatsApp number, and the details of the journey you asked about: whether it is Hajj, Umrah, a tour or a flight, the departure city, the month, the number of travellers, and the class of package. Nothing on this form is required except what you choose to type.
The enquiry form on the contact page
Your name, phone number, email address, the journey you are asking about, roughly when you plan to travel, and any message you write.
The newsletter box in the footer
Your email address only. We use it to tell you when Ramadan seats open, when Hajj registration is announced, and when a departure is near. Every email carries a way to stop receiving them.
When you press a WhatsApp button on this site, your message and your phone number reach us through WhatsApp, which is operated by Meta. What Meta does with that message on its own servers is governed by WhatsApp's own privacy policy, not by ours. Once the message reaches us, this policy applies to it.
The Umrah visa application
The application form at Instant Umrah Visa is the one place on this website that asks for a passport. To lodge a visa we need the file itself, so the form collects, for each person travelling: a photograph or scan of the passport, the name as the passport spells it, your travelling dates, whether you already have a ticket and a hotel, and your name, phone number and email so we can answer you.
What happens to the copy you upload:
- A photograph is reduced in your own browser before it is sent, to about 1600 pixels on its long edge. The full-size original never leaves your phone.
- It is stored apart from the pictures used on this website, in a private area that is not reachable by guessing an address. There is no public link to it and search engines are told not to index it.
- Only a signed-in member of our staff whose account has access to enquiries can open it, and the file is sent with instructions never to keep a copy in any cache.
- Deleting the enquiry deletes the passport copies with it, in the same action.
Nothing is charged on that page and no card or bank details are asked for or held anywhere on this website.
Documents, once you actually book
To issue a ticket or register a pilgrim, we also have to collect CNIC number, date of birth, photographs, and in some cases vaccination records and a mahram or relationship declaration. We ask for these only when a booking is going ahead, never to give you a quote.
The website itself
Our host records ordinary server information such as the page requested and the approximate region of the request.
We also run the Meta Pixel, so that we can tell which of our Facebook and Instagram posts bring people here, and so that we are not paying to advertise to someone who has already written to us. It stores a small identifier in your browser and tells Meta three things: that a page on this site was opened, that a WhatsApp button was pressed, and that an enquiry form was sent. Meta also sees your IP address and which page you were on, as it would with anything loaded from its servers. It is not sent your name, your phone number, your email address, or anything you typed into a form.
You can stop it by blocking third party cookies in your browser, by browsing in a private window, or through your Meta ad preferences. Nothing on this site stops working if you do.
Nothing else tracks you here. There is no Google Analytics, no advertising network beyond the Pixel described above, and we build no profile of you. If we ever add anything, this section is rewritten before it goes on.
Why we hold it
To answer your enquiry and prepare a quote. To make the booking you asked for. To meet the requirements of the airlines, the hotels, the Saudi Ministry of Hajj and Umrah, and the Pakistani authorities that license us. To keep the accounting records the law requires us to keep. That is the whole of it.
Who else sees it
Only the parties who need it to deliver the journey you booked:
- Airlines and their reservation systems, to issue tickets.
- Hotels and Saudi ground handlers in Makkah and Madinah, to hold your rooms.
- The Saudi visa and Hajj and Umrah systems, to obtain permission to travel.
- The Ministry of Religious Affairs, the Department of Tourist Services and the Hajj Organisers Association of Pakistan, where they require it of a licensed operator.
- Our bank, for payments, and our accountants and auditors.
We do not sell your information, and we do not pass it to anyone for their own marketing. No list of our pilgrims is rented, traded or shared with another agency.
How long we keep it
Enquiries that never became a booking are kept for [CONFIRM: suggested twelve months] and then deleted. Booking records and their supporting documents are kept for [CONFIRM: the retention period your accountant and the DTS licence require, commonly seven years] because tax and licensing rules oblige us to.
A passport copy sent with a visa application that does not go ahead is deleted after [CONFIRM: suggested ninety days], along with the enquiry it arrived with. If the visa is lodged, the copy becomes part of the booking record above. You can ask us to delete it sooner at any time and we will, unless an application is already with the Saudi system.
Asking us to delete your information
Write to [email protected] with the subject line "Data request" and tell us what you would like: a copy of what we hold, a correction, or deletion. We will reply within [CONFIRM: suggested fourteen days]. If a booking is in progress or a legal record must be kept, we will tell you exactly which parts we cannot delete yet and when they will go.
To stop the newsletter alone, use the unsubscribe link in any email, or send us a message on WhatsApp and we will remove you.
Keeping it safe
This website is served over HTTPS. Enquiries reach a private store that only our own staff accounts can open, and each member of staff sees only the part of the system their role allows.
Passport copies sent through the visa application are kept apart from everything else on this website: in their own private area, served only to a signed-in staff account, never cached anywhere, never linked to publicly and never indexed. Other booking documents are held on office machines and are not published anywhere. We do not hold card or bank details on this website at all.
Children
We do not knowingly take enquiries from children. Where a child travels with a family, a parent or guardian gives us their details as part of the family booking.
Changes to this policy
If this policy changes we will update the date at the foot of this page. Material changes will be mentioned to anyone with a booking in progress.
